JOB SUMMARY
The Executive Assistant provides high-level executive, administrative, and strategic support tothe C-Level Executive Team. This role serves as a trusted partner to executive leadership by managing priorities, facilitating communication, and ensuring seamless coordination across the organization.
As the central point of coordination between executive leaders, the Academic Leadership Team, and key institutional departments, the Executive Assistant plays a vital role in driving organizational effectiveness. The position is instrumental in supporting strategic initiatives, including Life College International’s global expansion, the launch and growth of LifeX, and other institution-wide projects.
KEY DUTIES AND RESPONSIBILITIES
- Provide comprehensive executive support to the C-Level Executive Team, including complex calendar management, meeting coordination, travel arrangements, correspondence, and day-to-day administrative support.
- Manage executive priorities by coordinating schedules, anticipating needs, resolving conflicts, and ensuring timely follow-through on commitments and action items.
- Serve as the primary liaison between the C-Level Executive Team, Academic Leadership, department heads, external partners, and other key stakeholders
to facilitate effective communication and collaboration.
- Coordinate executive meetings, leadership forums, strategic planning sessions, and board-related activities, including agenda preparation,
documentation, minutes, and follow-up.
- Coordinate initiatives related to global partnerships, international collaborations, and the development and implementation of LifeX and other
strategic growth projects.
- Organize executive communications, presentations, reports, and confidential documentation while maintaining the highest standards of accuracy,
professionalism, and discretion.
- Foster effective collaboration between Academic Affairs and other institutional departments, including Operations, Finance, Admissions, Marketing, Human
Resources, Technology, Campus Life, and Student Services, to ensure
seamless execution of organizational priorities.
- Handle highly confidential information with integrity and professionalism, while performing other executive support and strategic coordination responsibilities
as assigned by the COO and the C-Level Executive Team.
QUALIFICATIONS
Education
- Bachelor’s degree in Business Administration, Management, Communications, Education, or a related field.
Experience
- Minimum of 5 years of experience as an Executive Assistant supporting C-Level executives, senior leadership, or equivalent executive roles.
- Experience supporting multiple executives simultaneously is highly preferred.
- Experience in higher education or a mission-driven organization is an advantage.
